Graduate students may elect to be absent from graduate studies (not register for graduate credit) for one trimester with no impact on their progress (see Policy 8: Academic Progress). Following a one trimester absence, a student will automatically be readmitted to graduate study when registering for classes.

An absence from graduate study of longer than one trimester may have a negative impact on a student’s academic progress (see Policy 8: Academic Progress) and may require review related to changes in program requirements or policies. Therefore, a student absent for more than one trimester must receive permission to register for graduate classes. Depending on the circumstances and length of the absence, permission may be granted based upon petition or reapplication to the graduate program.

Petition: Students eligible for readmission by petition are

  • those returning from an approved leave (see Policy 5: Leave of Absence) of three years or less,
  • those students absent for two trimesters without an approved leave, but in good academic standing (see Policy 7: Academic Standing) when that absence began.

Reapplication: Students that must reapply to be considered for readmission are:

  • those absent without leave for two trimesters, and not in good academic standing,
  • those absent without leave for more than two trimesters,
  • those on leave for more than three years,
  • those academically dismissed.

Newly published policies and requirements: Resumption of graduate status is generally granted to those students eligible for petition. However, in absences greater than one year, the Dean of Graduate Studies may require the student be governed by policies and requirements in place at the time of resumption of status. If admission is granted to a student following re-application, that student must meet all requirements and be governed by policies in place at the time of their re-admission to the program.

Previously earned credit: In absences greater than three years, the Graduate Council may require that one or more courses taken previously be repeated.

Conditions, standing, and remediation: If readmission is granted, any condition of admission, academic probation (see Policy 7: Academic Standing), required remediation (see Policy 8: Academic Progress) or other requirements that were unresolved when the absence began, will remain in force.

Procedures:

Notice: None.

Petition: A student returning from an approved Leave of Absence of three years or less should submit a letter requesting re-admission to graduate study to the Dean of Graduate Studies. In most circumstances, the student will be re-admitted to graduate study by action of the Dean of Graduate Studies or the dean’s designate. When more than one year absence occurs, the permission will stipulate those new policies or requirements that apply.

All students absent without leave for two trimesters may be resume graduate study by action of the Graduate Council. A letter petitioning re-admission must be submitted to the Dean of Graduate Studies one month proceeding the term in which the registration is intended. The letter must provide sufficient grounds to account for the absence and any necessary documentation to assure effective review. Where possible, the petition should bear the endorsement of the student’s Advisory Committee.* At a called meeting, the Graduate Council will consider the petition and the student may be invited to the meeting, to address the request, where appropriate.

Re-application. All requirements for applications in place must be fulfilled. However, transcripts and exam scores (GRE or TOEFLE) filed with a previous application may be referenced for use. Any grades earned while enrolled as a non-degree student will be considered in reviewing the application. Three new letters of recommendation must be submitted, including one from the student’s Graduate Advisor.

Remediation: NA.

* A Graduate Advisory Committee or, in the absence of such a committee, a designated advisor.
