Reserves- Faculty


Why should I place material on Reserve?

It is a good idea to place an item on reserve if you would like the majority of your class to read the same materials. Reserve items are located in a closed-stack area on the second floor of the library and generally are given shorter check-out periods so that students have an equal opportunity to use these materials.

What type of material can I place on Reserve?

  • Library Material-You will need to complete the Reserve Submission Form supplying the author, title, and call number. Reference material will be placed on reserve only if there is a second copy. Core reference material that is in high demand will not be placed on Reserve. A book you have obtained through Interlibrary Loan (ILL) cannot be placed on Reserve. Library audio visual (av) items may be placed on Reserve.
  • Personal Property-Instructors may place personal copies of books, videos, etc. on Reserve. The library is not liable for theft, damage, or mutilation of personal copies placed on reserve.
  • Copies-In accepting a photocopy (i.e. of an article or book chapter) for Reserve, the Library assumes that the copy has been made in compliance with the Fair Use provision of Section 107 of the Copyright Law. Up to four photocopies of an article per term can be submitted to the library. Any photocopied material may remain on reserve only one trimester and for one course, otherwise copyright permission must be secured from the publisher. Palmer Health Sciences Library will not photocopy more than 10% of the entire book, provided the total number of photocopied pages do not exceed 25, or one chapter of a book, not exceeding 20% of the total pages without written authorization from the copyright holder.

How do I place an item on Reserve?

All materials submitted for courses with multiple instructors should be submitted by the coordinator/primary instructor.

  • Please check the library catalog to see if the book is in our library collection. You can either pull your book yourself or the library will do it for you. You will need to completely fill out the Reserve submission form for each separate title. If you wish to place a personal copy of your book on Reserve, please bring it to the Reserve Desk along with your form or have your Reserve Submission Form already electronically submitted.
  • Please allow two days for processing reserve submissions. Instructors will be notified via email when new submissions are available for check-out.
  • If you wish to place copies of articles, bring the article to the Reserve desk along with the Reserve Submission Form or have your submission form already electronically submitted.
  • Materials will not be checked out for overnight use unless the instructor has indicated as such on their Reserve Submission Form. If the instructor places non-circulating library materials on Reserve, they must have a librarian's authorization, to flag the item for overnight check out. If flagged for overnight check-out, materials may be checked out one hour prior to closing and must be returned no later than an hour after opening.

What if I want to keep an item on Reserve longer than one term?

Requests to keep materials on reserve must be renewed each trimester. The library will e-mail instructors one reminder to renew for the upcoming trimester. If the library does not receive a response from an instructor or written authorization from the copyright holder, the material will be returned to the instructor through campus mail. The Library will house the material for another trimester if an instructor has indicated they wish to have the item on an additional term, with the understanding they must be in the process of securing copyright permission from the rightsholder.

A photocopied item cannot be placed on Reserve for more than one term without written authorization from the copyright holder for subsequent use. To view a sample letter for copyright permission click here: article, book chapter.

Is there anything specific I need to tell my students about reserve material?

  • Please do not assume that any material is on Reserve unless you placed the item on reserve this semester. Please email the Reserves department or call ext. 5209 to check on the status.
  • It is helpful to give the students the correct citation (author and title) for the item.
  • Please tell students they must bring their current student ID with them to the library in order to use reserve items.
