 DRAFT 13 January 2005 - Library Faculty Minutes

Present:  Susan Burns, Phyllis Harvey, Natalee Hattig, Dennis Peterson, Dr. Glenda Wiese

Meeting Time:  10:10 a.m. – 11:20 a.m.

Aim for Meeting

  • Approved minutes of 02 December, 09 December and 16 December 2004.

Updates from Library Faculty
Professor Peterson – Director

  • Reported working on a statement regarding time off requests for inclement weather.
     
  • Staff are to use either vacation or personal leave when not reporting to work and cannot use sick time.

  • Regarding vacation leave requests at the end of the fiscal year, there will need to careful scheduling for time off especially, for the Sunday-Thursday and Tuesday-Saturday schedules.

·         Reported on the Educational Leadership Council meeting.

  • A presentation was given by Dr. Robert Percuoco at the Cabinet meeting on Assessment.

  • Physical Therapy will be integrated into the core curriculum during either 5th or 6th trimester.

  • The Board of Trustees meeting is February in San Diego.

  • The agenda includes the new Library building, preliminary FY 2006 budgeting and the administrative organizational structure.

  • Reported to Dr. Jean Murray on a number of items including:

·         Horizon software and iPac-HIP software upgrades.

·         Floor coverage difficulties with the Sunday-Thursday schedule due to illnesses and weather.

·         Discussion with Dr. Thomas Souza, Palmer West regarding Information and Instruction Librarian position.  Due to budget constraints, the search will be reopened this Summer.

·         Discussion on PHSL FY 2005 budgeting issues.

·         Discussion on Updates regarding consortiums.

·         Discussion on recent roof leaks in Collection Management and the space constraints in Special Collections.

·         Information Literacy Librarian, Karen Goodell is work with Dr. Marchiori on a test out process for Library 110 course, the Information Literacy course.

·         Library Assistant Pat Peters moved to Collection Management. Due to this move the work stations were redone to accommodate an extra person.

·         Discussion on additional personnel recommendations in the FY 2006 budget: A Collection Management Librarian for Palmer Florida Library has been approved for this fiscal year with the search to begin this Summer. For FY 2006, an Information & Instruction Librarian and a Technical Library Assistant for Special Services has been recommended for PHSL.

·         Recommended that Information & Instruction Librarian Karen Goodell be included with next Palmer Florida curricular planning session, to collaborate with Information & Instruction Librarian Eileen Burg on integrating the Information Literacy course into the Palmer Florida curriculum.

·         Delivered copies of the Chiropractic Education Required Textbook List 2002 and the Palmer West Library FY 2004 Assessment Review.

Assistant Professor Burns - Cataloging

  • The Anglo European College of Chiropractic theses are initially processed and available for in-house use in the Reference area.
  • The Swiss Chiropractors Association sent a book donation, in German with English summaries, “History of Chiropractic in Switzerland”.
  • Reviewing and clearing items on the copy cataloging shelf for quick processing by first choosing the newer titles in the back log needing copy cataloging in order to provide access as quickly as possible.

Associate Professor Harvey – Acquisitions, Serials and Electronic Resources

  • Outdated Chiropractic association membership directories in the Reference collection that now on the web and with a link to the PHSL webpage are being transferred to Special Collections.
  • The Acquisitions budget for PHSL is currently committed for the balance of the fiscal year. Acquisitions will continue to keep a list of items that need to be purchased, particularly chiropractic items.
  • Palmer Florida Library has reported that approximately 200 books titles are missing from the collection.  Upon receipt of the list, Ms. Harvey and Mr. Peterson will meet to review the missing titles.
  • Continuing to correct problems with journal links.  Requested the help from Night Circulation Supervisor Teresa Maness to do corrections on the A-to-Z list for all three libraries.

Instructor Hattig - Access

  • Changes to Document Delivery processes have been sent to Ms. Harvey, Ms. Goodell and Dr. Wiese.
  • Continuing to edit the Access procedural manual.
  • The Chiropractic Education Required Textbook List 2002 will be converted to a digital form by Mike Rekemeyer, Marketing and Communications, for linking on the PHSL home page.
  • The faculty and staff page on PHSL’s home page will be updated with current pictures, position  descriptions and short curriculum vitas.

Professor Wiese - Special Collections & Archives

  • Working on numerous requests for photograph reprints.
  • Will bring copy of brochure on Special Services to next week’s meeting.
  • Attending ACE Bargaining Unit sessions all day.

Discussion points

  • Discussion on personnel requests for both Florida and Iowa.
  • Discussion on the missing books at Palmer Florida Library.
  • Discussion on reporting time off requests for inclement weather. 
  • Discussion on scheduling coverage for staff and faculty vacations the last couple of months of FY 2005.

Action Steps for Library Faculty

  • Mr. Peterson and Ms. Harvey will meet to go over Florida’s missing book list.
  • Mr. Peterson to meet with Susan Sebille, Safety to look at workstations.
  • Dr. Wiese will distribute copy Special Services brochure at next week’s meeting.

Aim for Next Week's Meeting

  • Approval of Minutes.
  • Forward Agenda items to Mr. Peterson.
  • Continued discussion on specified points.
